Overview

This article details the accounting export options available with CoreBridge. 


  • Your CoreBridge subscription determines which export options are available. Detail Sync is not available with every subscription. If you need help determining which export options are available for your subscription please open a support ticket and a support agent will provide that information.

  • Regardless of the export option used, Accounts Receivable should always managed in CoreBridge because it is Live.

  • The sync is one-direction only, from CoreBridge to your accounting application. Transactions in your accounting application do not sync to CoreBridge.

  • If your CoreBridge system has more than one location, the Desktop Sync Tool or the Online Sync will export data from all locations to a single company in your accounting application

There are two export options:


1: Summary Sync

  • This method provides your CoreBridge financial data in journal entry format. The end result is approximately 20-25 journal entries per month. This is the recommended and most commonly used option and is the easiest to set up and maintain.

  • The only records that need to be maintained are the G/L accounts.

  • Individual customers and transactions will not appear in your accounting software.

2: Detail Sync

  • This method provides your CoreBridge financial data in transaction format. Individual transactions such as invoices and payments sync to your accounting application. The end result is 100's or maybe 1000's of transactions per month. This is a significantly more complex option and is only available on some subscriptions. It is more difficult to set up and maintain than the Summary Sync option.

  • Once a transaction syncs to your accounting application it should never be edited or deleted. Changes and deletions to transactions that have synced can cause sync errors and can cause your financials to be different between CoreBridge and your accounting application.

  • In addition to maintaining accounts, all other record types that sync must be maintained such as Customers, Orders, and Payments. You may end up with hundreds of customers and thousands of transactions in your accounting application

  • When using Detail Sync, a sync should be performed each business day to keep your accounting software up to date with CoreBridge. This is the best way to prevent sync errors which cause data not to export to your accounting software.

  • Detail Sync is not available with every subscription.

  • Over time, thousands of records will sync. Keep this in mind if your accounting application has limits to the number of records it can store before it stops allowing further records to be recorded.

  • The records that sync should not be modified or deleted in your accounting software once they sync. The changes do not sync back to CoreBridge. Changes will create sync failures and will cause your financial data in CoreBridge to not match the financial data in your accounting application.

C. Export Methods

There are three export methods:

1: Desktop Sync Tool

  • This is our in-house software used to export data to supported QuickBooks desktop versions. It can only be installed on Windows. It should not be installed on a hosted server.
  • The sync tool works on QuickBooks versions 2014 and newer.

2: Online Sync

  • No additional software required. CoreBridge communicates directly with QuickBooks Online and Xero through the API interface.

3: Manual File Export

  • Used for accounting applications that aren't supported by either the desktop or online export methods. This method is only used with the Summary Sync export option to provide journal entries. On each Reconciliation there is a button that will create the file needed for import based on the accounting application selected during setup. The file will be used to manually import data from the Reconciliation to the selected accounting application in one of these formats:
    • QuickBooks IIF Format
    • QuickBooks Online (Canada) - CSV Format
    • Sage Spreadsheet Format
    • Shireburn Financial Manager - CS

D. What data is exported with each export option?

1: Summary Sync

  • Journals by Class (if supported by your accounting software). This allows for separation of multiple locations by Class on financial reports.
  • Sales by Income Account
  • Bad Debt Expense
  • In-Store Credit Expense
  • Lump Sum Payments by Type (cash, check, Visa/MC, etc.)
  • Asset Accounts
  • Accounts Receivable
  • Deposit & Credit Liabilities
  • Sales Tax Liability
  • Purchase Orders (only with the Desktop Sync Tool and the Purchasing Module)

2: DetailSync

Additional Requirement

Tax must be assigned at the Order level. If your version of QuickBooks assigns tax at the Line Item level, Summary Sync must be used.

This is the case with Canada, UK, and other non-US versions.

If you are using a non-US version, your export type will be set to Summary Sync.

If your version currently assigns tax at the order level and you decide to upgrade or change to a different version, that version must assign tax at the order level if you want to continue to use Detail Sync.

Additional Requirements

(1) 
Tax must be assigned at the Order level. If your version of QuickBooks assigns tax at the Line Item level, Summary Sync must be used.

This is the case with UK, Australia, Singapore, Canada, and other non-US versions.

If you are using a non-US version, your export type will be set to Summary Sync..

If your CoreBridge system has Parts or Modifiers of type "Inventoried Part", your version of QuickBooks Online must have the "Track Inventory" feature.

If your CoreBridge system has more than one location, your version of QuickBooks Online must have the "Class Tracking" feature available and enabled so that locations can be separated on financial reports.
