Overview

This article details the accounting export options available with CoreBridge. 


Please note:

  • Your CoreBridge subscription determines which export options are available. Full Sync is not available with every subscription. If you need help determining which export options are available for your subscription please open a support ticket and a support agent will provide that information.

  • Regardless of the export option used, Accounts Receivable should always managed in CoreBridge because it is Live. The sync is one-direction only, from CoreBridge to your accounting application. Transactions in your accounting application do not sync to CoreBridge.



Export Options


There are two export options:

  • Lump Sync: Exports lump sum amounts to your accounting application with journal entries. One journal entry is created for each CoreBridge Reconciliation. This is the preferred and most commonly used option and is the easiest to set up and maintain.

  • Full Sync: Exports individual transactions such as invoices and payments to your accounting application. This is a significantly more complex option and is only available on some subscriptions. It is more difficult to set up and maintain than the Lump Sync option


Export Methods


There are three export methods:

  • Desktop Sync Tool: This is our in-house software used to export data to supported QuickBooks desktop versions. It can only be installed on Windows. It should not be installed on a hosted server.

  • Online Sync: No additional software required. CoreBridge communicates directly with supported cloud-based accounting applications securely over the internet.

  • Manual File Export: Used for accounting applications that aren't supported by either the desktop or online sync methods. This method is only used with the Lump Sync export option. On each Reconciliation there is a button that will create the file needed for import based on the accounting application selected during setup. The file will be used to manually import data from the Reconciliation to the selected accounting application in one of these formats:
    • QuickBooks IIF Format
    • Sage Spreadsheet Format




Lump Sync

Lump Sync is the simplest way to transfer data from CoreBridge to your accounting application and is the most commonly used. Lump sum amounts are exported to your accounting application as a Journal Entry. This means that individual transactions, invoices, and customers are not exported. The amounts that are posted to each Journal Entry come from the values in each CoreBridge Reconciliation.

Data exported with Lump Sync export includes:

  • Transactions by Class (if supported by your accounting software)
  • Sales by Income Account
  • Bad Debt Expense
  • In-Store Credit Expense
  • Payments by Type
  • Asset Accounts
  • Accounts Receivable
  • Deposit & Credit Liabilities
  • Sales Tax Liability
  • Purchase Orders (only with the Desktop Sync Tool and the Purchasing Module)

Full Sync

The Full Sync posts individual transactions to your accounting application. Instead of lump sum amounts, individual records such as customers, invoices and payments will be synced.

Full Sync is not available with every subscription.


Over time, thousands of records will sync. Keep this in mind if your accounting application has limits to the number of records it can store before it stops allowing further records to be recorded.

The records that sync should not be modified or deleted in your accounting software once they sync. The changes do not sync back to CoreBridge. Changes will create sync failures and will cause your financial data in CoreBridge to not match the financial data in your accounting application.

Data exported with Full Sync export includes:

  • Customers
  • Invoices
  • Payments
  • Tax Groups (not synced to QuickBooks Online)
  • Tax Agencies (not synced to QuickBooks Online)
  • Accounts – Income, COGS, and Reconciliation Accounts (COGS not synced to Xero)
  • Billing Items – Parts, Modifiers, Setup Fees (not synced to Xero)
  • Payment Terms (not synced with Xero)
  • Locations/Transactions by Class (If supported by your accounting application. Not synced to Xero)
  • Vendors (not synced to Xero)
  • Vendor Types (not synced to Xero)
  • Purchase Orders (not synced to Xero)
